Missão
We are seeking an analytical, proactive, and self-directed Project Management Assistant to join our team in San Luis Potosí for a 4-month assignment. In this role, you will play a key part in maintaining project discipline, driving team accountability, and supporting administrative and governance workflows. You will work closely with cross-functional discipline leaders to ensure clear communication, seamless meeting execution, and accurate tracking of project deliverables and procurement tasks. Responsibilities
- Project Governance & Schedule Administration
- Coordinate and manage the overall project agenda and schedule.
- Schedule, facilitate, and follow up on Governance meetings, as well as weekly and bi-weekly internal alignment sessions.
- Prepare detailed meeting minutes, capturing key decisions, action items, and next steps for distribution.
- Executive Communications & Information Synthesis
- Consolidate complex input from various discipline leaders to create high-quality executive PowerPoint presentations.
- Ensure consistent formatting, clarity, and narrative flow for status updates, reviews, and executive-level discussions.
- Open Issues List (OIL) & Analytics Management
- Maintain and systematically update the Open Issues List (OIL).
- Proactively follow up with action owners to track progress, resolve bottlenecks, and ensure commitments are met on schedule.
- Generate performance indicators and metrics (open/closed actions, completion rates, trends, and statistical analyses) for project reporting.
- Procurement & Administrative Support
- Drive the administrative end-to-end requisition process in coordination with internal stakeholders.
- Ensure accurate generation of requisitions, track conversion into Purchase Orders (POs), and oversee timely PO issuance to suppliers.
- Prepare Engineering Change Requests (ECR) / Requests for Quotation (RFQ) in designated formats and coordinate with suppliers to obtain competitive commercial proposals.
Perfil
Qualifications
- Soft Skills: Highly analytical, proactive, self-motivated, and capable of working independently with minimal supervision.
- Experience: 1–3 years of experience in project coordination, PMO support, engineering, or industrial administrative roles,
- Advanced proficiency in Microsoft PowerPoint (executive slide design) and Excel (data analysis, KPI reporting, trend tracking).
- Familiarity with project tracking tools and Open Issues Lists (OIL).
- Understanding of basic procurement workflows (Requisitions, POs, ECR/RFQ processes).
- Communication: Strong verbal and written communication skills in both Spanish and English (capable of interfacing with regional/global stakeholders).
- Location: Based in or willing to commute to San Luis Potosí.
