Mission

  • Office & Operational Administration: Manage daily office workflows, facility/asset upkeep, document control, staff scheduling, and administrative support during operational, safety, and regulatory audits.

  • Financial Administration (AR/AP & Payroll): Oversee debtors and creditors, manage invoicing and collections, resolve billing/vendor discrepancies, handle petty cash, and prepare inputs for wage/salary payroll processing.

  • Reporting & Data Governance: Consolidate and distribute weekly/monthly operational, financial, fuel, asset movement, and SHERQ reports; maintain central dashboards, data integrity, and ensure timely statutory/regulatory submissions.

  • Vendor & Contract Management: Oversee supplier onboarding, contract compliance (POs, variations, invoicing), facility SLAs, vendor evaluations, and coordinate with procurement to mitigate commercial risk.

  • Customer & Stakeholder Relations: Serve as the primary point of contact for customer administrative queries/complaints; coordinate interactions between site operations and external regulatory authorities, community leaders, and contractors.

  • SHERQ Compliance Support: Enforce safety and environmental policies within office operations, assist with safety audits/inspections, track incident data, and foster a safety-first culture among admin staff.

  • Team Leadership: Lead, mentor, and supervise administrative staff, allocate daily tasks, conduct performance appraisals, and manage recruitment, onboarding, and training plans.

    Qualifications

    • Required: Diploma or Bachelor’s Degree in Business Administration, Office Management, or Bookkeeping.

    • Preferred: Certification in Office Management, Records Administration, or Power BI.

    Experience

    • 5+ years of broad administration experience, with 2–3 years in a supervisory or managerial role.

    • Experience in logistics, industrial, or waste management operational environments is advantageous.

    • Advanced proficiency in MS Office suite and working knowledge of ERP systems and document management tools.
